Assignments help you organize your event by allowing you to assign your attendees to their cabins, buses, tables, teams, or anything else.
Important
Assignments are for administrative use only and cannot be seen by attendees.
Every assignment has two parts: an assignment type and assignment areas.
Each assignment type will apply to ALL attendees. Within a type, you can create assignment areas where attendees are assigned. Attendees can be assigned to multiple assignment types, but only one area within each type.
For instance, for a youth retreat, all attendees must be assigned to a bus and a cabin. Those will be two different types. The areas within those types will be the specific buses and cabins the kids are assigned to.
-
Go to the Assignments tab of your signup.
-
In the box, enter the name of your first assignment type. Common assignment types are:
-
Vehicles
-
Cabins
-
Teams
-
-
Select Add assignment type.
-
Select New assignment area.
-
In the Assignment area box, add a name for your area and set a maximum capacity. Common areas within assignment types are:
-
Vehicles: Van 1, Van 2, Van 3
-
Cabins: Oak, Fir, Walnut
-
Teams: Blue Team, Red Team, Yellow Team
-
-
In the Options box, choose who the area is available to, making restrictions based on gender, age, grade, or selection.
-
Select Save to finish creating the assignment area.
-
Select the Add area button in the top right of the page to add more areas to the assignment type as needed.
After you've created assignment types and areas, assign attendees to organize them into groups.
If you have many attendees and set your filters appropriately, use auto assign to fill your areas with attendees who match the area filters.
Auto assign will account for filters first, and then it will consider those who are eligible for multiple areas.
-
Select the Assignments tab of your signup.
-
Select the assignment type.
-
Select the Unassigned tab on the left side of the page.
-
Select the Auto assign button in the top right corner.
-
Choose the way you want attendees to be assigned to areas.
-
Waterfall will fill a single area first to complete capacity before moving to the next area.
-
Balanced will divide attendees among the areas they fit into as evenly as possible.
-
You can choose to assign people manually if you would rather assign them yourself or if you need to override a restriction.
-
Select the Assignments tab of your signup.
-
Select the assignment type.
-
Select the All attendees tab on the left side of the page.
-
Select the Area column to the right of an attendee's name and type an area name or choose one from the dropdown. If restrictions are set, a note will be visible stating if the area is available for the attendee or if they do not meet the restrictions.
-
Select the ✅ green check mark to save the assignment.
If restrictions are set for an area, an administrator can choose to override them. This can be helpful in scenarios such as assigning a cabin leader to a grade-restricted cabin or accommodating group preferences.
After all attendees have been assigned, you can create reports to refer to during your event. These reports are great for distributing to leaders so they know who to look for!
-
Go to the Assignments tab of your signup.
-
Select the All attendees tab on the left side of the page.
-
Select the Reports button, followed by one of three report options:
-
Assignments by area: This report lists each area separately with all assigned attendee names.
-
Assignments by attendee: This report separates attendees by selection type and lists their assignments.
-
Export CSV: This report exports a CSV of attendees, including their names, selection, assignment, and answers to attendee questions.
-
You can view an attendee's assignments within their registration. To get there, locate or search for an attendee's name in the attendee list on the Registrations tab of your signup. Select their name to view the registration.
You can change an attendee's assignment from the All Attendees tab of an assignment type. Select their current assignment in the Area column and type an area name or choose one from the dropdown.
Select the ⊖ minus icon to unassign the attendee.
Sometimes you need to unassign attendees from a specific area or even unassign all attendees from all areas.
Important
All attendees must be unassigned before an assignment type or area can be deleted.
To unassign all attendees from all areas, go to the Assigned tab and select the Unassign all button in the top right corner.
Before deleting an assignment type or area, first unassign all attendees.
